The Operations Project Specialist will assist the Chief Operating Officer (COO) and Director of Operations Programs and Project Management with the five (5) phases of project mangement, 1) Initiation, 2) Planning, 3) Execution, 4) Monitoring and Adjustment, and 5) Closing. Job duties will include defining project requirements, identifying and communicating with stakeholders, gathering and organizing data, generating support documentation, and testing of applicable systems. Systems will include Delta Dental of Oklahoma's (DDOK) provider portal (PEARL), claims processing system (aQDen), and member portal (Spotlight). Additional systems may include National Provider File (NPF), InforCRM (CRM), Network Development Module (NDM), National Data Platform (NDP), and others. This role will act as project liaison between Operations and other divisions within DDOK (e.g., Information Technology (IT), Sales, Finance) and with external parties such as Delta Dental Plans Association and vendors. As the Operations liaison, this role will ensure communication, processes and projects are complete, accurate and on time; meet milestones set for each project within specified time frames; provide status updates, overviews and training presentations, as well as documentation to appropriate management and staff, as necessary.

In addition, the Operations Project Specialist will manage adhoc and regular reporting for all departments reporting to the Director of Operations Programs and Project Management, and the COO as requested. Reporting will require detailed knowledge of Microsoft Excel to manage large amounts of data from multiple sources. Reports must be managed with a high level of accuracy, consistency, and functionality.

This role will provide support to all of Operations staff as directed by the COO and Director of Operations Programs and Project Management. This support will include, but is not limited to, auditing of processed claims, provider data, system data (e.g., NPF, NDM, NDP, aQDen); development of process documents, departmental policies, training programs; and acting in a back-up role to the Quality Assurance Specialist.


MINIMAL QUALIFICATIONS:

  • Three (3) or more years of dental office experience or insurance related experience.
  • High level user of Microsoft Word, Outlook and Excel.
  • Strong communication, organizational, and problem-solving skills.

ADDITIONAL QUALIFICATIONS:

  • College Degree
  • Experience working with database systems and/or consumer relation management systems.
  • Three (3) or more years customer service or claims experience.
  • Project coordination and implementation experience within the dental insurance or healthcare industry.
  • Familiarity with compliance and regulatory requirements in the dental insurance industry.
  • Microsoft Excel certification(s).
